Legal Secretary – Litigation and Dispute Resolution

A career in our Litigation and Dispute Resolution Group will provide you with the opportunity to assist our team of highly professional and experienced lawyers who cover an extensive range of legal and commercial services to local and international clients.

Responsibilities:


As a Secretary, you will work as part of a team of our lawyers, secretaries and business support staff collaboratively to perform all duties of secretarial nature.  Specific responsibilities include but are not limited to:

  • Provide full spectrum of support to fee earners in administrative and secretarial matters
  • Maintain and manage fee earner schedules and in organising meetings and activities
  • Assist in the file and matter management in relation to the litigation cases handled by lawyers
  • Liaise with internal and external parties and assist in managing clients relationship
  • Handle legal documents, including preparation of legal correspondence, memoranda and court documents
  • Perform proofreading, formatting and inconsistency checking for all materials
  • Handle month end billing, assist in dealing with processing of payments and issue of invoices etc
  • Establish and maintain files (mainly electronic) in compliance with the firm’s policies and practice
  • Maintain and organise database and resources, documents and files
  • Work effectively with other practice groups and business services department
  • Perform other secretarial work and general support tasks as requested

Requirements:

  • Minimum 5 years of secretarial work experience preferably gained in law firms in litigation practice (but not a prerequisite)
  • Diploma holder of legal studies or equivalent is preferred
  • Good command of spoken / written English and Chinese, proficiency in Putonghua is an added advantage
  • Well versed in Microsoft Office tools (Word, Excel, PowerPoint), iManage and with strong document formatting skills
  • Attention to detail, organised and self-motivated
  • An exceptional team player with strong collaboration and interpersonal skills
  • Ability to work in a fast-paced environment
  • Suitable candidates who are fresh graduates with less experience may be considered
